Travel Arrangements

Overview

• All SA invitees are responsible for their own drop-off and pick-up arrangements to/from their relevant domestic departure points
• Flight SA -> DE: Depart Sat 24/11 @ 20:15 from OR Tambo. Via Charles de Gaulle Airport, Paris. Arrive Sun 25/11 @ 14:50 at Berlin Tegel Airport  (SA Students will arrive on an earlier flight : student workshop starts at 14:00)
• Flight DE -> SA: Depart Sat 1/12 @ 18:35 from Berlin Tegel Airport. Via Charles de Gaulle Airport, Paris. Arrive Sun 2/12 @ 11:00 at OR Tambo
• Flight Bookings: Rennies Travel (NMMU) Lynette Day : Tel +27 41 396 8800 by Wednesday, 3 October - office hours 08:00 - 16:30, Mon - Fri
• Additional / alternate flight arrangements: ZAR500 per transaction (own account)
• Passport must be valid until 2 March 2013, otherwise apply immediately (own account)
• Visa: Apply once your passport is in order (for Inkaba's account - consult supervisors re. payment)

Flights and bookings

• SA Flights (bookings only) closed on Wednesday, 3 October 2012 - to qualify for the special group rate : 60 x SA students, 30 x mentors
• Reference for SA flight bookings:  Group - INKABA YEAFRICA Ref. 1 : 7FMSAW - Travel Consultant : Lynette Day, Rennies NMMU  +27 41 396 8800
• Domestic flights for all delegates to ORT-JNB departures/returns will be handled by the same Travel Consultant : Lynette Day, Rennies NMMU +27 41 396 8800
• Reminder:  please Register online as a SA delegate by  Fri 5 October (to finalise student accommodation bookings by Sun 7/10)

• Flight DE -> SA: Sat 1/12  - depart 18:35 > Berlin Tegel Airport - arrive 20:20 > Paris, Charles de Gaulle Airport. Sat 1/12 - depart 23:20 > Paris, Charles de Gaulle Airport. Sun 2/12 - arrive 11:00 > ORT, Jhb
• FOR YOUR OWN ACCOUNT : Breakaway Flights Fee : ZAR 500 per transaction (either out- or inbound portion of journey) - such changes are subject to revised fare at sole discretion of airways (also for your own account : price difference in official return group rate
• Penalties payable with cancellations
• After ticket issue : tickets are non-refundable

Passports (own account):

• Must have a valid Passport (should not expire BEFORE 2 March 2013 incl. 2 blank pages): submit  a scanned copy online (after registration as a delegate) on this Indico system before Wed 10 October 2012 - See Procedure page
• If NO/expired passport: Apply immediately http://www.home-affairs.gov.za/Travel%20document.html#T3 with status updates here
• Passports are currently taking about 2 weeks to process - NO guarantee! (Rather allow a minimum of 21 working days)

VISAS - Schengen (Inkaba SA's account):

• Visa costs (~ R882 ) to be paid by yourself / your institution, but is for Inkaba's account. This must be claimed back by Inkaba Group Mentors with the next round of invoicing re. student funding
• By Fri 12 October 2012: D-line (approx.) Visa Application and Appointment (in person : Pretoria, Cape Town only) should be done - (online: http://www.southafrica.diplo.de/Vertretung/suedafrika/en/03__RK/1__Visa__short/Official__Visit__Visa.html)
• Visas are currently taking about 5 work days to process - again, NO guarantee!  For your own safety : allow 10 working days.
